Development Operations Manager
Do you enjoy combing through databases and spreadsheets? Are you equally comfortable behind a computer and in small group interactions? Then please consider joining the Menlo College Development Operations team in this hands-on mid-level data management role.
The Development Operations Manager is responsible for the overall data entry and health of the development database, fulfillment of campus-wide data requests, and supporting end users within the Office of Alumni Engagement and Development (AED). Primary duties include maintaining the integrity, quality and accuracy of the donor database, managing the gift processing and stewardship process, development and documentation of policies and procedures, and mailing list management.
The Development Operations Manager is a full-time position reporting to the Director of Development Operations with one direct report.
Position Overview
Database Administration
- Oversee and manage alumni/donor database, Virtuous, and customized plug-ins
- Take a proactive and hands-on role in all data entry, storage, validation, update, retrieval, and reporting efforts
- Liaise with campus departments to streamline transfer of data using flat files
- Champion and adopt measures to continually improve data completeness, accuracy and integrity
Gift Processing and Donor Stewardship
- Work closely with Donor Database Assistant to ensure all gift processing and gift acknowledgement tasks are handled efficiently with as little lag time as possible
- Drive reconciliation process for all donations within the AED office and with the business and athletics offices
Automated Workflows and Documentation
- Work closely with AED team to set up marketing and donor workflows in Virtuous
- Develop and maintain a manual for database policies and procedures
- Develop and maintain a user guide for end users in the AED office
Departmental and Campus Support
- Develop and manage a process to fulfill database requests (e.g. mailing lists, constituent research, targeted queries)
- Develop, run and prepare reports (financial, historical analysis, alumni data, benchmarks, etc.) for presentations and meetings
- Be the expert on AED database functionality; leading discussions about database best practices and new features with colleagues
- Lead database orientation sessions for AED staff and student workers
- Other duties as assigned by Director or Senior Director

Education, Skills, and Experience
- BA/BS degree or equivalent required
- Minimum of two years’ database management or CRM experience required
- Donor database experience in a fundraising department preferred
- Strong understanding of donations and gift processing for 501(c)3 organizations, including legal regulations, preferred
- Experience working in non-profit industry and/or higher education preferred
- Proficiency with Google Suite and Excel preferred
- Ability to work occasional evenings and weekends
