Registrar
The Division of Student Services at Menlo College seeks applications for the position of Registrar. This is a full-time, 12-month, professional position reporting to the Vice President for Student Services.
About the College
Founded in 1927, Menlo College enrolls more than 600 students in its traditional undergraduate program and approximately 80 additional students is its Professional Studies Program. Plans are underway to offer graduate management programs within the next two years.
Menlo College's mission is to develop future leaders through a liberal arts-based business education that integrates academic study and fieldwork in a Silicon Valley environment unmatched in its potential for innovation. To fulfill its mission, the College has created new majors in Accounting, Finance and Marketing. In June, Menlo College was granted candidacy status by AACSB.
Responsibility Summary
The Registrar will provide leadership to plan, organize and manage all of the activities related to records and registration, including serving as the official authorized keeper of the college's student records.
Specific Responsibilities
Note: This is intended to be a descriptive but not necessarily an exhaustive list of responsibilities.
- Develop and manage the overall operations of the Office of the Registrar (class registration, grading, class rosters, transcript processing, records analysis, student directory, etc,).
- Develop an efficient, effective, and accurate system to manage student academic records.
- In consultation with the Academic Deans and the faculty, develop, produce and distribute the schedule of classes per the deadlines contained in the College's Academic Calendar.
- In that process, provide the Academic Deans and faculty with accurate information on which courses need to be taught in a given semester to assure that students can proceed toward their degree in a timely and unhindered manner.
- Inform the Academic Deans of any issues that impact the academic life of the institution. Propose working solutions.
- Work closely with the Academic Advising Center to develop an efficient graduation process.
- Certify the legitimacy and accreditation of the degrees awarded by ensuring that both the College and the student have met their contractual agreements.
- Supervise all transfer operations for continuing students.
- Assist the Office of Admissions in developing and maintaining transfer admissions and articulation agreements with community colleges.
- Ensure the validity of all official academic transcripts issued and guarantee that the College is in compliance with all relevant federal and state laws and guidelines.
- Serve as the primary contact for requests for official information about the College. Responsible for responding to internal and external data requests, including state, federal and private agency reporting.
- Collect, organize, verify, evaluate, filter, summarize, and edit data from various College offices for use in official reporting, planning, and research.
- Develop and maintain a cycle of regular institutional assessment studies, archival files, and key indicators to support recurring decision needs of the institution.
- Compile information about peer institutions and about the demographic, economic, and social factors affecting the national education environment.
- Maintain data integrity by providing documentation, rapid access, and data manipulation.
- Provide data to assist in strategic planning, enrollment management, academic planning and other areas as needed.
- Responsible for collecting, recording, maintaining and reporting student records within FERPA guidelines, e.g., grades, registration data, transcripts, mid-term verifications, athletic eligibility and ICCE audits and other associated audits.
- Collaborate with administrators, deans, faculty, IT and counselors to facilitate and improve service to students, including processes and policies.
- Participate and serve as part of the Student Services team. Lead initiatives as determined by the Vice President for Student Services.
- Establish and maintain relationships with the Menlo Community.
- Other responsibilities and projects as assigned by the Vice President for Student Services.
Minimum Qualifications
- A bachelor's degree from an accredited college or university. Master's degree preferred.
- A minimum of 3 years of related experience as a registrar or assistant registrar in a college or university setting
- Well-developed oral and written communication skills.
- Familiarity with selective private non-profit colleges
- Good organizational and analytical skills
- Ability to work independently and with a team as well as with various constituents
- Ability to work some evenings/weekends

The successful candidate will demonstrate a commitment to a collegial and collaborative administrative leadership style, have proven ability to think strategically, prioritize effectively, and act decisively. In addition, the successful candidate will have a working knowledge of current records, registration, and enrollment policies and trends, as well as technological developments as they relate to a registrar's operations. Knowledge of Jenzabar EX is desired.
