Financial Aid Counselor

Responsibility Summary

The Financial Aid Counselor has responsibility, under the direction of the Director of Financial Aid, for needs analysis and awarding of state, federal, and institutional aid. The Counselor is responsible for providing customer service and assistance to students and their parents through the financial aid process. This position maintains a shared accountability for overall enrollment goals and models excellence in customer service as the foundation for counseling Menlo College students and parents.

Specific Responsibilities

  • Interpret and apply state and federal regulations including guidelines to Title IV programs
  • Analyze financial data, family circumstances, and educational goals and apply knowledge of federal, state, Menlo College, and outside agency laws, regulations, and policies to determine student’s eligibility for various types of aid
  • Coordinate the processing of communication to students, including but not limited to: award notification/verification, C-codes, loan limits, default status, Selective Service, and SAP
  • Process received forms/documents, including verifications
  • Assist in daily Department of Education communications and processing of daily reports
  • Assist in compilation of data and statistics for reporting purposes
  • Analyze reports to resolve eligibility problems
  • Exercise professional judgment to authorize changes in financial aid awards that include grants, scholarships, fellowships, and loans
  • Analyze exception reports of students whose aid packages could not be handled by automated programming and determine action needed to resolve issues to provide student aid allocations
  • Reconcile student data from multiple sources and identify and resolve mismatches and errors
  • Certify private and outside loan eligibility
  • Counsel students and parents regarding student financial aid matters
  • Administer Federal Work-Study program
  • Coordinate evaluation of academic progress for all financial aid recipients
  • Assist in the supervision of student workers in the Financial Aid Office
  • Participate in campus and community outreach activities
  • Coordinate and develop special programs and participate in speaking engagements
  • Suggest enhancements and changes to policy and/or procedures
  • Perform other duties as assigned

Job Requirements

These duties require regular and effective communication and coordination with the following campus offices: Admissions, Registrar, Office of Academic Affairs and Professional Studies, and the Business Office.

Regular office hours are from 8 am to 5 pm, Monday through Friday; selected Saturdays and Sundays, and some evenings. Must be able to work in an open office setting and be in constant contact with the public.


  • A minimum of a bachelor’s degree with a preferred emphasis in higher education, counseling or information management
  • At least two years of professional experience in financial aid
  • Knowledge of federal and state financial aid regulations
  • Ability to work independently and anticipate next steps
  • Computer proficiency, especially with spreadsheet and database software
  • Excellent communication and organizational skills
  • Ability to multi-task in a busy office
  • Knowledge of PowerFAIDS financial aid software preferred
  • Knowledge of Jenzabar EX student information software preferred
